Advertised Salary: $16.16 to $20.57 hourly rate pursuant to the FSU and CTA/MEA-NEA Agreement

Summary of Position: This position will provide full-time continuing clerical support to the College of Arts, Sciences and Education (CASE) Dean’s Office to include but not limited to: transcript articulation, MyDegree, graduation support, event planning, student academic support and general clerical functions.

Required Education: Satisfactory completion of three years college or equivalent such as military technical training or business/technical schooling.

Any equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities may be considered. Equivalency for education is two years of works experience equals one year of education.
Required Work Experience: Two years of full-time secretarial work experience to include bookkeeping and public contact. Proficiency with Microsoft Office Products.

Additional Education/Experiences to be Considered: Higher education work experience. Prior experience with Concur. High level of proficiency in Banner self-service and Banner INB.  
Essential Duties/Responsibilities: Perform any/all duties as defined in the Secretary, Level 1 position description.

Process course equivalency requests, track requests and record the equivalency in BANNER, workflow and CollegeSource TES.

Answer course equivalency questions for students, departments and faculty.

Assists in the curriculum process for the college and the university.

Assists with the scholarship process to ensure guidelines and award process.

Ability to work independently and meet deadlines with minimal supervision.

Coordinate special departmental functions such as recruitment activities, graduation, meetings, conference, workshops, seminars, athletic and fundraising events, by scheduling facilities, preparing agendas, and arranging for services and equipment.

Coordinate intra-unit operations, procedures and activities with other secretarial/clerical personnel to maintain consistency in the application of policies and procedures.

Answer inquiries from a variety of internal and external sources, and provide explanation and interpretation of the policies, practices and procedures of a large department and/or major division.

Review and interpret incoming mail and assemble files and other related materials to facilitate response by supervisor.

Initiate correspondence requiring an understanding of the unit's activities, policies and procedures.

Collect and tabulate complex data from a variety of sources.

Monitor budget and maintain related records and reports for a major division.

Produce correspondence, reports and other documents utilizing computer software programs such as word processing, spreadsheets, database and file management.

Input, retrieve, download, merge and output information utilizing a computer to access various software programs and systems.

Regularly deal with sensitive and confidential matters.

Abstract information from books, professional journals, reports and other source documents.
Interview, hire, train and direct lower level non-bargaining clerical employees.

Interview bargaining unit clerical applicants and train them in the characteristic duties.

Provide back-up assistance for other clerical positions.

Marginal Duties/Responsibilities: Attend meetings and conferences in absence of supervisor.  
Skills and Abilities: High level of organizational ability.

Ability to work effectively and efficiently in a high volume working environment.

Input, retrieve, download, merge and output information from various software programs and systems.

Perform basic mathematical operations with accuracy.

Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information.

Take dictation at the rate of 90 wpm and transcribe accurately (maximum of three errors).

Plan, organize and make sound judgments and decisions.

Communicate effectively with a variety of students, faculty, staff, and visitors in a variety of situations.

Interpret student problems and direct students to the proper resource.

Monitor and maintain budget records and reports for a major division.

Supervise, direct and train others in the performance of the characteristic duties.
