Advertised Salary: $17.56 hourly rate pursuant to the FSU and CTA/MEA-NEA Agreement

Summary of Position: Reporting to the Director of Career and Professional Success this position manages critical daily office logistical operations. Responsible for ensuring exemplary customer service, knowledgeable of all office operations, solution focused results, and oversight of student employees.

Required Education: Satisfactory completion of two years college or equivalent such as business/technical schooling.  
Required Work Experience: Two years full-time secretarial or office administrative work experience which includes public contact, database management, participation in the organization of large events and public speaking. Excellent knowledge of Microsoft Office.

Additional Education/Experiences to be Considered: University/college experience.

Essential Duties/Responsibilities: -Perform all duties and responsibilities as defined in the Secretary, Levels I and II position descriptions.
-Assist with the event planning, registration process, logistics, and advertising for CAPS events
-Serve as lead worker to hire, train, schedule, supervise, and maintain payroll for departmental student employees.
-Oversee all front desk student employees, providing excellent communication that ensures customer needs are met and exceeded.
-Plan volunteer services projects, find and post community volunteer opportunities, advertise opportunities and approve volunteer service hours submissions.
-Coordinate workflow and office operational needs for the department.
-Create marketing fliers, advertising literature, and displays for departmental activities.
-Answer inquiries, explain policies, and help resolve problems or concerns from a variety of internal and external constituents.
-Schedule meetings and events, maintain schedules, handle a variety of different correspondence, and perform a variety of office support functions.
-Conduct practice employment interviews for students, critique student resumes, monitor student interview schedules, and schedule and present in classrooms as assigned.
-Authorize bills for payment, handle cash, prepare and/or post a wide variety of transactions, financial and statistical reports and analyses, collect and organize data from a variety of sources.
-Create, maintain and troubleshoot CAPS website.
-Assist in the development of office practices and procedures.
-Input, retrieve, download, merge, output, and maintain information to access various software programs and systems and to analyze information and data.
-Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
-Any other duties assigned within the position classification area.
Marginal Duties/Responsibilities: -May be assigned to attend meetings and conferences in absence of supervisor or as a University representative.
-Serve as a representative of Career and Professional Success at a variety of events, recruitment activities, and information tables.
-Assist with special projects and tasks as assigned
Skills and Abilities: -Communicate effectively with students, staff, business representatives, and other constituents.
-Meet deadlines and demonstrate excellent organization and communication skills.
-Exercise good judgement and tact in dealing with a diverse group of individuals.
-Maintain the confidentiality of sensitive personal information.
-Research, collect, analyze and produce reports.
-Ability to operate all standard office machinery and equipment.
-Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
