Summary of Position: Provide independent office operational support for designated health care office in a manner that is compliant with HIPAA and other medical related policies and regulations. Responsible for completeness of patients’ medical records, and student records including the coordination and scheduling of student appointments, testing and medical referrals as assigned. Prepare and process insurance and patient billings. Duties may vary depending on which medical office employee is assigned and duties shown below may not be applicable to every employee in this classification.

Required Education: Associate’s degree in the field of Medical Assisting, Health Information Technology, Medical Records and/or Medical Secretary. In lieu of education, 4 years of related work experience with coursework in medical terminology may be acceptable.

Required Work Experience: One year of full-time demonstrated work experience in a position such as Medical Secretary, Medical Assistant or Health Information Technologist/Technician in a medical office setting similar to the position. May be required to possess work experience in medical billing and insurance.

Additional Education/Experiences to be Considered:    
Essential Duties/Responsibilities: 1. Enter necessary information into the computer, using appropriate system.
2. Coordinate and prepare medical billings to individual patients, agencies (such as Medicare and Medicaid) and/or insurance companies.
3. Conduct billing audits related to various insurance companies, Medicare, Medicaid, etc as required.
4. Review charts for quality assurance, utilization review, release of information, Work with various insurance companies on billing problems.
5. Maintain CBCS Credit Bureau patient accounts. Determine which accounts are to be sent to collections at the appropriate time. Notify CBCS Credit Bureau of all payments received at University Eye Center, document notifications and payments in our software.
6. Assist dispensary with insurance verifications and insurance authorizations.
7. Assist credentialing physicians, trouble shoot contact representatives.
8. Perform a variety of office support/clerical functions such as answer phones, scheduling patients, checking patients in/out, and running credit card payments, etc. Including corresponding with patients and fielding billing questions.
9. Maintain filing system and files, referral system for doctors, clinics and hospitals, various logs and appointment book.
10. Recommend changes in processes and procedures relating to assigned responsibilities.
11. Independently answer questions, resolve issues, etc.
12. Reports directly to assigned supervisor. Responsible for maintaining the confidentiality information.
13. Carries out responsibilities in accordance with University policies and applicable laws.
14. Any other duties assigned within the position classification area.
15. Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
16. Support, promote, and develop University student enrollment and retention initiatives.

2. Plan, organize and make sound judgment.
3. Communicate effectively both orally and in writing.
4. Maintain current knowledge of federal & state medical billing issues and procedures.
5. Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
