Summary of Position: Provide clerical support in University Eye Center, to include scheduling patient appointments, collecting payments, issuing receipts, preparing deposits and insurance verification. Variable hours (between 7:30 a.m. to 6:00 p.m.) to accommodate opening and closing of clinic. Schedule is 28 hours per week.

Required Work Experience: At least one year of office experience with extensive customer service, strong communication abilities and proficient in software applications.

Additional Education/Experiences to be Considered: One year of medical office experience, preferably optometry or ophthalmology. Experience in medical terminology and data entry, preferably an electronic health record. Experience with medical insurance billing.  
Essential Duties/Responsibilities: Exhibit excellent customer service skills with all stakeholders.

Collect fees, issue receipts, balance books and monies daily, prepare deposits and maintain records of all transactions.

Process referrals, schedule appointments, and send out recall notices.

Ensure adequate inventory of office supplies and clinical materials. Distribute certain clinical supplies as requested.

Serve as a preceptor for new employees as requested.

Assist student employees in clinical office procedures.

Maintain a recall system, contacting patients for appropriate follow-up.

Recognize and respond to emergency or urgent patient situations.

Efficiently schedules patient appointments, identifying urgency of some, and assigns to correct provider/student level.

Make changes to schedule as indicated.

Accurately enter patient information into the electronic health record. Send notices to providers as indicated.

Open and close office per procedure, as assigned.

Verify patient eligibility for specific services and insurance programs, and process appropriate paperwork for third-party insurance.

Maintain the confidentiality of designated information.

Carry out all responsibilities in accordance with University policies and applicable laws.

Reports directly to the Front Office Coordinator and ultimately to the Clinic Office Manager.

Any other duties assigned within the position classification area.

Support, promote and develop University student enrollment and retention initiatives.

Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
 
Marginal Duties/Responsibilities: Instruct clinical optometry students in clinic office procedures.

Other duties may be assigned relevant to clinic operations.

Maintains all records including accounts receivable and patient files.

Maintains the confidentiality of designated information.

Performs receptionist and cashier duties.

Reports directly to the Office Manager or Clinic Director as assigned.
 
Skills and Abilities: Communicate effectively, both verbally and in writing.

Establish and maintain filing systems.

Operate, or learn to operate, a variety of basic office machines.

Perform basic bookkeeping and mathematical operations with a high degree of accuracy.

Perform basic recordkeeping and word processing functions on a computer.

Supervise and train others in the performance of their assigned duties.

Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
