Summary of Position: • Provide reliable and professional administrative support to the Extended and International Operations dean's office in Big Rapids, MI.
• Responsibilities include; student interactions, receptionist duties, clerical tasks, and bookkeeping.
• This full-time, on-site position, operates in a professional office environment with a standard work schedule of Monday through Friday, 8:00 AM to 5:00 PM.
• The anticipated start date for this position is June 2025. However, this is an estimated date and can be revised if needed.

Required Education: • Satisfactory completion of two years college or equivalent technical training or business/technical schooling.
• The requirements listed are representative of the knowledge, skill, and/or ability required.
• Any equivalent combination of college education, training, and experience which provides the required knowledge, skills, and abilities may be considered.
• Equivalency for education is two years of work experience equals one year of education.
 
Required Work Experience: • Two years full-time secretarial work experience to include bookkeeping, supervisory responsibility, and public contact.
• Two years part-time is equivalent to one year full-time.

Additional Education/Experiences to be Considered: • Experience working in a higher education environment.
• Experience working with computerized student record/large database management systems.
 
Essential Duties/Responsibilities: • Perform all duties outlined in the Secretary Level 1 position description.
• Greet and assist students, faculty, staff, and visitors in a professional and friendly manner.
• Manage incoming calls, emails, respond to inquiries, and handle general office and receptionist tasks that includes; information collation, distribution, multi-line phone management, message taking, and meeting scheduling.
• Independently perform and coordinate administrative support functions, focusing on specialized areas of university services.
• Provide excellent customer service through clear communication and responsive support.
• Investigate, develop, recommend, implement, and update university procedures related to specific functions.
• Demonstrate an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff, and community members.
• Support, promote, and develop university student enrollment and retention initiatives.
• Coordinate workflow and daily operations as assigned.
• Handle confidential information with discretion and assist colleagues and customers with sensitive matters.
• Maintain accurate and comprehensive records of student interactions.
• Assist with the training and supervision of student employees and lower-level bargaining unit staff, as assigned.
• Utilize various database tools to input, retrieve, maintain, analyze, and interpret data.
• Support and coordinate special FSU programs and activities, including developing invitation lists, booking rooms and catering, and arranging program logistics.
• Carry out responsibilities in accordance with university policies and applicable laws and regulations.
• Maintain confidentiality of designated information.
• Report to the immediate supervisor as assigned.
• Any other duties assigned within the position classification area.
 
Marginal Duties/Responsibilities: • Participate in relevant committees and attend meetings as needed.
• Provide backup and assistance for other positions and perform routine office support duties.
• Be cross-trained in other specialized areas within the office.
• Participate in appropriate professional development and training activities.
 
Skills and Abilities: • Communicate effectively with a diverse customer base.
• Meet deadlines while demonstrating strong organizational and analytical skills.
• Operate a variety of office machines and equipment efficiently.
• Accurately perform mathematical calculations and advanced bookkeeping, accounting, and record keeping tasks with attention to detail.
• Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
• Plan, organize, and make sound decisions using good judgment.
• Stay informed and maintain up-to-date knowledge of specialized terminology and regulations.
• Proficiently use computer software, mainframe programs, and related systems.
• Interview, hire, direct, and train lower-level employees as needed.
• Apply proper grammar, spelling, punctuation, and formatting to ensure clear and professional communication.
