| Summary of Position: |
The College of Arts, Sciences and Education seeks applications for a Secretary Level 3 position to perform a variety of independent complex duties to include, but not limited to, graduation, orientation, and articulation processes, as well as other academic processes in the college. Candidates should have a high level of accuracy, organization and attention to detail in a high volume working environment, as well as the ability to effectively communicate, both orally and in writing, to both internal and external constituents.

Bachelor’s degree or equivalent combination of education and work experience.

| Required Work Experience: |
Two years of full-time advanced secretarial office experience. Strong computer knowledge, including proficiency in Microsoft Office software, including database management. Two years part-time is equivalent to one year full-time. |

| Additional Education/Experiences to be Considered: |
Higher education work experience. Strong experience with Banner, Webfocus, and Degree Works (MyDegree) software systems. Experience with graduation audit processes or other academic auditing processes. |

| Essential Duties/Responsibilities: |
1. Perform any/all duties as defined in Secretary, Levels I and II position descriptions. 2. Coordinate intra-unit operations, procedures and activities with other secretarial/clerical personnel to maintain consistency in the application of policies and procedures. 3. Answer inquiries from a variety of internal and external sources, and provide explanation and interpretation of the policies, practices and procedures of a large department and/or major division. 4. Review and interpret incoming mail and assemble files and other related materials to facilitate response by supervisor. 5. Initiate correspondence requiring an understanding of the unit's activities, policies and procedures. 6. Collect and tabulate complex data from a variety of sources. 7. Maintain related records and reports for a major division. 8. Produce correspondence, reports, and other documents utilizing computer software programs such as word processing, spreadsheets, database, and file management. 9. Input, retrieve, download, merge and output information utilizing a computer to access various software programs and systems. 10. Regularly deal with sensitive and confidential matters. 11. Abstract information from books, professional journals, reports and other source documents. 12. Interview, recommend for hire, train and direct lower-level non-bargaining clerical employees. 13. Support, promote, and develop university student enrollment and retention initiatives. 14. Cultivates an environment of belonging that values, respects, supports, and celebrates individual similarities and differences, allowing students, faculty, and staff to thrive authentically. 16. Any other duties assigned within the position classification area. |

| Marginal Duties/Responsibilities: |
1. Review, revise and/or develop brochures, announcements, etc. for special events. 2. Provide back-up assistance for other clerical positions. 3. Attend meetings and conferences in absence of supervisor. |

| Skills and Abilities: |
1. Operate a variety of office machines and equipment such as computer, facsimile, copier, calculator, to include making minor adjustments (requires some mechanical aptitude). 2. Use computer software such as word processing, spreadsheets, and database. 3. Input, retrieve, download, merge and output information from various software programs and systems. 4. Perform basic mathematical operations with accuracy. 5. Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information. 6. Take dictation at the rate of 90 wpm and transcribe accurately (maximum of three errors). 7. Plan, organize and make sound judgments and decisions. 8. Communicate effectively with a variety of students, faculty, staff, and visitors in a variety of situations. 9. Interpret student problems and direct students to the proper resource. 10. Monitor and maintain budget records and reports for a major division. 11. Supervise, direct and train others in the performance of the characteristic duties. 12. Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds. |
