Advertised Salary: $19.05-$24.26 Hourly rate pursuant to the FSU and CTA/MEA-NEA Agreement.

Summary of Position: Provide responsible, independent secretarial support requiring independent interpretation of the policies and procedures of the college, university and related work areas. May work in coordination with other healthcare colleges for cross functional healthcare purposes.

Required Education: Satisfactory completion of three years college or equivalent such as military technical training or business/technical schooling.

Any equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities may be considered. Equivalency for education is two years of full-time related work experience equals one year of education.

 
Required Work Experience: At least two years full-time secretarial work experience in a fast-paced environment which includes accounting, advanced financial transactions, and public contact where tact and diplomacy are required. Excellent written and verbal communication skills and proficiency in MS Office.

Additional Education/Experiences to be Considered: Event coordination and experience in a clinical setting.  
Essential Duties/Responsibilities: Perform any/all duties as defined in Secretary, Levels I and II position descriptions.

Coordinate intra-unit operations, procedures and activities with other secretarial/clerical personnel to maintain consistency in the application of policies and procedures.

Answer inquiries from a variety of internal and external sources, and provide explanation and interpretation of the policies, practices and procedures of a large department and/or major division.

Review and interpret incoming mail and assemble files and other related materials to facilitate response by supervisor.

Initiate correspondence requiring an understanding of the unit’s activities, policies and procedures.

Collect and tabulate complex data from a variety of sources.

Produce financial transactions (PO, Direct Pay, etc) per department needs.

Produce correspondence, reports and other documents utilizing computer software programs such as word processing, spreadsheets, database and file management.

Input, retrieve, download, merge and output information utilizing a computer to access various software programs and systems.

Regularly deal with sensitive and confidential matters.

Abstract information from books, professional journals, reports and other source documents.

Interview bargaining unit clerical applicants and train them in the characteristic duties.

Direct and train others in lower level non-bargaining unit clerical and student positions.

Carries out these responsibilities in accordance with University policies and applicable laws.

Maintain the confidentiality of designated information.

May train and direct work of part-time, student, and lower level non-bargaining unit clerical employees.

Responsible for event coordination such as continuing education programs, white coat ceremony, hooding, commencement, etc.

Web editor for MCO web pages.

Will serve as back up in UEC clinic, per need for check in, check out, scheduling, etc. as needed.

Process POs & Requisition along with financial tracking of invoices and payments.

Externship Program assistant to communicate and track externship site information for adjunct faculty credentialing and accreditation requirements.

Will work in coordination with other healthcare colleges for cross functional healthcare purposes.

Any other duties assigned within the position classification area.

Reports to immediate supervisor as assigned.

Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff, and community members.

Support, promote, and develop University student enrollment and retention initiatives.
 
Marginal Duties/Responsibilities: Provide back-up assistance for other clerical positions.

Attend meetings and conferences as needed.

Review, revise and/or develop brochures, announcements, etc. for special events.
 
Skills and Abilities: Operate a variety of office machines and equipment such as computer, facsimile, multi-line telephone, copier, etc.

Use computer software such as word processing, spreadsheets, and database.

Input, retrieve, download, merge and output information from various software programs and systems.

Perform basic mathematical operations with accuracy.

Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information.

Plan, organize and make sound judgments and decisions.

Communicate effectively with a variety of students, faculty, staff, and visitors in a variety of situations.

Interpret student problems and direct students to the proper resource.

Monitor and maintain budget records and reports.

When needed, supervise, direct and train others in the performance of the characteristic duties.

Effective problem-solving skills to provide creative solutions and resources.

Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
