Summary of Position: Provide clerical support in University Eye Center, to include scheduling patient appointments, collecting payments, issuing receipts, and preparing deposits. Working 18-28 hours per week, with some evening hours required.

Required Education: High school graduate, GED or equivalent.  
Required Work Experience: One year of office experience in a fast paced environment.

Additional Education/Experiences to be Considered: Preferred experience in a healthcare setting. Additional experience with insurance billing.  
Essential Duties/Responsibilities: Collect fees, issue receipts, balance books and monies daily, prepare deposits and maintain records of all transactions.

Draft necessary letters, memos and forms for patient referrals, exam reports and routine correspondence.

Ensure adequate inventory of office supplies and clinical materials. Distribute certain clinical supplies as authorized.

Greet and assist incoming patients, notify doctor and/or clinician of patient arrival or cancellation.

Instruct and assist students in clinical office procedures.

Maintain a recall system, contacting patients for appropriate follow-up.

Recognize emergency or urgent patient situations and schedule or consult with faculty doctor.

Schedule appointments, coordinating student, clinical instructor and room schedules.

Set up fi les for new patients and maintain patient fi le system, entering appropriate data on computer.

Unlock and lock exterior and interior doors daily.

Verify patient eligibility for specific services and insurance programs, and process appropriate paperwork for third-party insurance.

Other duties may be assigned relevant to clinic operations.

 
Marginal Duties/Responsibilities: Carries out all responsibilities in accordance with University policies and applicable laws.

Efficiently schedules patient appointments, identifying urgency of some, and assigns to proper area.

Instructs clinical students in clinic office procedures.

Maintains all records including accounts receivable and patient files.

Maintains the confidentiality of designated information.

Performs receptionist and cashier duties.

Credentials our doctors with insurance and CAQH organization.

Reports directly to the Office Manager or Clinic Director as assigned.
 
Skills and Abilities: Communicate effectively, both verbally and in writing.

Establish and maintain filing systems.

Operate, or learn to operate, a variety of basic office machines.

Perform basic bookkeeping and mathematical operations with a high degree of accuracy.

Perform basic recordkeeping and word processing functions on a computer.

Supervise and train others in the performance of the characteristic duties.
